Frequently
asked questions:
Getting started
Single brands and agencies sending B2B email, from a first cold campaign to hundreds of thousands of emails a month. Any legitimate company with a clear offer and good copy can start: the dedicated infrastructure is set up and run for you, so you do not need experience. Every company is approved before it sends.
Instantly and Smartlead are primarily built around connecting and managing large numbers of sending accounts, although both now offer additional infrastructure options. MailRig is built around dedicated sending infrastructure from the start, with the campaign sequencer included on top of it.
No. MailRig is designed so you can operate the sending system without being a mail-server administrator. The technical infrastructure is handled behind the product, while the dashboard shows sending health, capacity, campaigns, and anything that needs your attention in plain English.
No. MailRig does not source or enrich prospects. You bring your own lead data; MailRig handles the infrastructure and software used to send to it.
Not at full volume. Sending access is subject to business and campaign approval, and new sending infrastructure needs to build reputation before volume increases. MailRig increases capacity based on sending health rather than unlocking a fixed amount on a specific day.
Migration & support
Migration is handled with 1:1 onboarding. We review what you are currently using, prepare your MailRig infrastructure, and plan the transition around the capacity available on the new setup.
No. Moving gradually is usually the safer approach. New infrastructure has to earn sending capacity, so there is no reason to shut down a working setup before MailRig is ready to take over its traffic.
Yes. Migration help is part of onboarding. The goal is to move the outbound operation, not make you rebuild everything alone.
It covers getting your account, sending domains, infrastructure, campaigns, and initial sending plan set up correctly. For agencies, it also includes structuring the brands you manage.
Both plans include private 1:1 support. MailRig is built for operators running revenue-generating outbound, so infrastructure and deliverability issues are treated as operational problems rather than generic software tickets.
Infrastructure
It replaces the inboxes you use specifically for outbound sending. You can still use Google Workspace or Microsoft 365 for your normal company email; you no longer need to create fleets of those inboxes just to run MailRig campaigns.
Instead of sending campaigns through hundreds of individual Google or Microsoft mailboxes, MailRig runs outbound through infrastructure assigned to your account, including dedicated IP capacity and isolated sending identities.
No. A dedicated IP assigned to your account is not used as a shared sending IP for unrelated MailRig customers.
Your dedicated IP is assigned to your account and used only by you for as long as you send with MailRig. Your sending domains are yours outright, and they stay yours if you leave.
Yes. You bring the outreach domains you want to use. MailRig does not charge you for or lock you into platform-owned sending domains.
MailRig is designed to keep cold outreach separate from your primary brand domain. Your main company domain should stay out of prospecting infrastructure.
1 domain per 1,000 emails sent per day, based on the volume you actually send, not on your plan’s limit. Sending 5,000 emails per day takes 5 domains. On the Agency plan, each client needs its own domains: 1 domain per 1,000 emails sent per day by that client, with a minimum of 2 domains per client.
MailRig verifies the authentication and DNS requirements a sending identity needs before it is allowed to send. That includes SPF, DKIM, DMARC and the other infrastructure checks required for a properly authenticated sending setup.
MailRig is designed specifically to prevent unrelated customers from sharing prospect-facing reputation assets. Sending identities and dedicated infrastructure are isolated so another customer’s campaign does not simply ride on your IP reputation.
We handle it end to end. Sending on that setup pauses, our team finds and fixes the cause, rebuilds anything that needs it and ramps your volume back up. There is nothing for you to do.
Deliverability
It means your deliverability is yours. No other sender’s mistakes land on your IP, and every clean send builds reputation that only you benefit from. A new IP starts with a ramp while that history builds, and MailRig paces it for you.
Google, Microsoft and Yahoo decide where every message lands, so no provider can promise placement. MailRig controls the infrastructure they judge: authentication, a dedicated IP, pacing per provider, sending health and reputation monitoring.
MailRig monitors the health of the infrastructure as it sends and can restrict or pause traffic when signals such as hard bounces, complaints or repeated provider deferrals deteriorate.
The aim is to catch a problem early, before more volume goes through it.
When MailRig says warmup, the important part is the gradual, health-gated increase in real sending capacity. A new domain or IP does not go from zero to hundreds of thousands of emails simply because a certain number of days passed.
Volume increases when the underlying signals support it.
Most setups ramp over a few weeks. Volume rises as soon as the signals support it: the history of the domain and IP, where your recipients are hosted, list quality and sending consistency.
Capacity depends on the health of your sending infrastructure and campaigns. Signals include acceptance and deferral behavior, hard bounces, complaints, authentication status, provider feedback and reputation problems.
MailRig can freeze growth, reduce sending to the affected provider, or pause the affected traffic while the cause is investigated.
Volume ramps back up once the cause is fixed.
Sending on the affected infrastructure stops. We diagnose why the listing happened, fix the underlying cause, follow the blocklist’s remediation process where applicable, and reintroduce traffic carefully afterward.
MailRig does not simply rotate to a new IP to avoid the listing.
Microsoft-hosted recipients can behave very differently from Google-hosted recipients, especially with new sending infrastructure.
MailRig paces Microsoft and Google separately, so Microsoft traffic is tuned on its own without touching how Google traffic is sent.
Very. Verified addresses and well-targeted recipients build reputation fastest. MailRig is designed around verified B2B lists, and you bring the prospect data.
MailRig keeps the reputation you have built. When a signal drops, it pauses, finds the cause and fixes it, so your domain or IP keeps the history it has earned.
Campaigns & sequencer
No. MailRig includes the software needed to build and run outbound campaigns, so you do not have to pay for another sequencer simply to use the sending infrastructure.
Yes. You can create multi-step sequences with follow-ups, delays, message variants, conditions and sending schedules.
Yes. A human reply stops the contact’s pending follow-ups so the sequencer does not continue emailing someone who has already responded.
Yes. Replies across your outbound campaigns are brought into the MailRig interface so you can manage conversations without opening every sending identity separately.
Yes. MailRig keeps the contacts you upload, their campaign history, messages and replies together. It does not source those contacts for you.
The current pricing model does not meter contacts. Users, contacts and campaigns are unlimited; sending volume is the primary usage meter.
Yes. Campaigns support sending windows and pacing controls rather than simply dumping the entire daily volume into the queue at once.
The sending engine includes company-level capacity controls so campaigns can avoid concentrating too much traffic on the same organization at once.
Yes. MailRig’s campaign system supports multiple message variants inside sequences.
Contacts and replies stay connected inside MailRig, and the product is being built around reply-driven opportunity tracking rather than becoming a separate prospecting database.
Agencies & brands
Yes. The Agency plan is designed for businesses running outbound across multiple client or company brands.
A brand is the actual business being promoted in the emails.
For an agency, each client you send on behalf of is treated as its own brand rather than hiding every client behind one agency account.
Yes.
An agency being approved does not automatically approve every company the agency wants to promote. Each brand must be verified separately before it can send.
Because the company being promoted, its offer, its domains and its audience all affect the risk of the campaign.
Allowing an approved agency to add unknown clients without review would defeat the purpose of operating controlled sending infrastructure.
The Agency plan is designed around brand-level separation so client sending identities, campaign controls and reputation do not simply become one undifferentiated pool.
The Agency plan includes one shared monthly send allowance across the account. You can distribute that capacity across the brands you manage rather than purchasing an entirely separate software subscription for every client.
Yes. Per-brand controls let an agency decide how much of its shared sending capacity each brand is allowed to use.
The Agency model is designed around shared sending volume rather than per-seat or per-brand software fees. Your cost grows primarily when you need additional email volume.
API & automation
Yes. API access is part of the product rather than a separate enterprise-only add-on.
The API is designed to let outbound teams connect MailRig to their existing systems and automate workflows around contacts, campaigns, sending and campaign data.
The exact available endpoints are documented in the developer documentation.
Yes. That is one of the main reasons the API exists. MailRig does not require every part of your sales operation to live inside one closed application.
No. Everything required to run normal campaigns is available through the MailRig application. The API is there for teams that want more automation or custom workflows.
Yes. MailRig works with any platform that can send an HTTP request and receive a webhook, which covers the common automation tools as well as anything you build yourself.
Yes, through your own workflow. You generate the personalized fields with whichever AI tools or models you already use, then pass them to MailRig as custom variables on the contact. MailRig does not run those models itself; it sends the campaign that uses their output.
No.
API requests go through the same account, campaign, suppression, capacity and sending rules as actions made through the dashboard. There is no separate raw sending route that bypasses MailRig’s controls.
Policy & compliance
MailRig’s initial service is designed for legitimate U.S. business-to-business commercial outreach from verified businesses.
Not at launch.
The initial product is restricted to verified U.S. businesses sending commercial outreach to U.S. business contacts. International sending requires additional country-specific rules and is intentionally separate.
Commercial email in the U.S. is regulated, including B2B email. CAN-SPAM does not contain a general B2B exemption.
Among other requirements, businesses must use accurate sender information, avoid deceptive subject lines, include a valid postal address, provide an opt-out method, and honor opt-outs. Using MailRig does not remove the sender’s responsibility to comply with applicable law.
MailRig does not accept campaigns involving categories such as phishing, impersonation, gambling, adult content, deceptive financial offers, debt relief, certain regulated-health offers, or other activity that creates unacceptable legal or reputation risk.
No. MailRig prohibits creating a false impression that a previous conversation happened when it did not.
No. Sender identity has to accurately represent the business behind the outreach.
The recipient is suppressed for the applicable sender scope and pending outreach is stopped. MailRig’s sending path rechecks suppression before messages are sent.
Yes. The underlying system includes one-click unsubscribe handling and suppression.
That is particularly important because Gmail imposes one-click unsubscribe requirements on qualifying high-volume marketing and promotional senders.
No. Password resets, receipts, security notifications and other critical transactional traffic should stay separated from cold-outreach infrastructure.
No.
Buying access to a list does not automatically make it acceptable for MailRig. Customers need to be able to explain where their prospects came from, and lists still have to comply with MailRig’s targeting, verification and suppression rules.
The FTC also specifically warns that purchased lists can contain addresses gathered improperly or recipients who have already opted out.
Pricing & account
Single Brand is $299/month and includes 300,000 sends for a company running outbound for one brand.
Agency is $599/month and includes 500,000 sends for teams managing multiple brands, along with additional dedicated IP capacity and brand-level controls.
Volume ramps up over your first weeks and rises as bounces, complaints and provider responses hold up. Once the ramp is complete, your plan’s full monthly allowance is yours.
Initial campaign emails, follow-ups, message-variant deliveries and manual resends count toward the monthly allowance.
Internal previews and infrastructure retries of the same message are not intended to create additional billed sends.
Sending stops when the plan allowance is exhausted. MailRig does not silently keep sending and surprise you with an overage bill.
Additional volume is available in 250,000-send buckets. Under the current pricing model, each additional 250,000 sends costs $299.
No. Users are not the thing MailRig meters. The pricing model is based primarily on sending volume and account structure.
No. Contacts, campaigns and users are unlimited on both plans under the current pricing model.
No. You bring your own outreach domains.
Single Brand includes 1 dedicated IPv4. Agency includes 3 dedicated IPv4s under the current pricing model.
Yes. Both plans include 1:1 onboarding and private support.
